Finance Director/Controller
An award-winning interior design firm based in Austin, TX, is seeking candidates for our Finance Director role. This is a comprehensive finance role that includes expense and revenue management, monthly customized client invoices, client consultation on invoicing, monthly and quarterly reporting, financial analysis, budgeting and forecasting, an executive dashboard, and business advisory. This position is part of the firm's senior leadership team.
Responsibilities of the Finance Director / Controller Include:
Revenue
Primary responsibility for the monthly invoicing process, including collaboration with the design team. The invoicing process includes design time billed on an hourly basis, along with fixed-fee progress payments for typical commercial projects. Invoicing for furnishings is included in this responsibility and may vary depending on whether it's for specific custom pieces for residential clients or large-group purchases for commercial projects.
Follow up communication with clients as needed, including high net worth individuals (B-to-C) and commercial developers (B-to-B).
Monthly revenue forecasting in conjunction with design and procurement teams.
Primary liaison with Monograph, which is a design resourcing, design time entry, and project profitability online tool.
Provide accurate monthly reporting, KPIs, and general business health summaries to the President.
Expense Management
Management and regular administration of monthly expenses through the direct use of QuickBooks, but primarily through a third-party bookkeeping vendor who is responsible for back-end journal entries and account reconciliations. Oversight and collaboration with vendors on processes and one-off transactions.
Management of credit card portfolio with banks and issuance to employees, including oversight of vendor work in this area.
Process payroll via a third-party vendor every other week. Collaborate with the HR team as necessary.
Banking and Cash Management
Banking relationship management, including all checking, savings, and investment accounts. Primary relationship with key contacts at three major banks, including wire transfer and ACH transaction capability.
Facility ACH transactions - both AP and AR side - monthly.
Cash forecast and planning expertise.
Financial Analysis
Provide month-end and quarterly finance results to the senior leadership team through the use of QuickBooks and QB plug-ins - most regularly, Fathom. This includes income statements, balance sheets, cash flow statements, and related profitability analysis within a time period and across quarters, as well as annualized numbers.
Provide the President and senior leadership team with periodic financial analysis related to project profitability and make significant recommendations regarding pricing new project proposals, along with the design and operations team, to ensure business objectives are achieved.
In conjunction with the HR team, assist in analyzing annual compensation costs along with bi-annual bonus payments.
Provide a variance analysis from the budget to actuals and future impact.
Year End
Tax Reporting including regular interface with outside accounting firm for multiple states and the federal tax return. (Filing as an S-Corporation.)
In conjunction with our outside accounting firm, ensure all other year-end reports, such as 1099’s and K-1’s, are issued as appropriate.
Business Consultation
Act as an internal consultant to the President of the firm on all financial and periodic general management questions. Be available to meet directly with potential and existing clients to both establish and solidify the firm’s working relationship. Present a professional approach to clients and vendors as a senior leader in the firm to facilitate trust and transparency in all financial matters.
Skill Requirements:
Well-developed general accounting skills, including proven income statement, balance sheet, and cash flow understanding.
Strong business acumen and intuition, including the ability to recognize cues from clients and partners where potential financial conflict may arise going forward. Be an active participant in problem avoidance in these cases and collaborate with the leadership team.
Strong communication skills with all firm stakeholders, particularly with clients and other partners.
Demonstrated ability to work in a matrixed collaborative environment.
Imperative software skills include QuickBooks, Google Suite (GMail, Google Sheets, Docs, Slides), and Microsoft Excel.
Significant plus for experience with Monograph and Fathom. Willingness and ability to learn these applications are required.
Education:
Prefer a business bachelor's degree with 10+ years of experience in Accounting and an additional 3+ years of experience for a project/services company is highly desired.
Prior experience working with external professional services firms, including accounting firms, is required.
Must be comfortable in a fast-paced small business environment with frequent shifting priorities.
Schedule, Work Location, and Benefits:
This is a full-time, 40-hour-a-week position, requiring residency in the greater Austin, TX area. Office presence is required for a minimum of 3 - 4 days a week, with other days allowing work-from-home and periodic remote work outside the region. Client schedules and unforeseen meeting changes may necessitate flexibility in the week-to-week schedule.
